What's new in version 2.0

Every lost item, back where it belongs.

Reclaim replaces the paper logbook and the spreadsheet at your lost property desk. Staff log a found item with a photo in seconds and stick a QR label on it. Reclaim compares it with every lost report, tells the owner by email, WhatsApp or letter, and records a safe handover with an ID check, a signature and a PDF receipt.

Built for hotels, resorts, airports, shopping malls, universities, hospitals, stadiums, gyms and offices. It is plain PHP 8 and MySQL with no framework, no Composer and no build step. Upload it, run the web installer and you are live in five minutes, even on shared hosting. You can also run it on your own computer with XAMPP, MAMP or Laragon.

How Reclaim works

Why lost property teams choose Reclaim

Fast at the desk: photo from the phone camera, QR label, done in about 20 seconds.
Owners found sooner: automatic matching against every lost report.
Safe returns: ID check, ownership question, pickup code, second approval for valuables, signature and receipt.
Audit ready: chain of custody, holds, retention rules, disposal certificates and an audit log.
Guests help themselves: public search, report lost, report found and track, all from a phone.
One payment: no monthly fees, unlimited staff and sites, your data on your server.

01 · Fast intake: Log a found item in 20 seconds.

Take a photo, pick a category and the shelf. AI can describe the photo for you. Every item gets a reference and a printable QR label.

Fast intake

02 · Smart matching: The owner is found before they call.

Every lost report is compared with everything in storage: category, colour, brand, place, date and words. Strong matches land in one inbox with a score.

Smart matching

03 · Item record: Everything about an item. On one page.

Photos, status timeline, where it is stored, who touched it and what happens next. Big action buttons on desktop, a sticky action bar on the phone.

Item record

04 · Chain of custody: Know where every item is. And who moved it.

Every move between shelves, sites and people is logged. Put an item on hold for the police or an insurance claim and it can never be disposed of by accident.

Chain of custody

05 · Safe handover: Give it back to the right person.

Check the ID, ask the question only the owner can answer, scan their pickup code and capture a signature. A PDF receipt is emailed in one click.

Safe handover

06 · Returns by post: Owner left town? Send it by post.

Owners ask for delivery from their phone and pay by bank transfer or a payment link. You record payment, print the packing slip and add tracking.

Returns by post

07 · Public pages: Guests help themselves. Your desk stays quiet.

A clean public site where guests search found items, report what they lost, tell you what they found and track their report, all from their phone.

Public pages

08 · Email & WhatsApp: Owners hear from you the moment it’s found.

Branded emails with your logo go out when a report is received, a match is found, the item is ready or it ships. WhatsApp messages too, if you want.

Email & WhatsApp

09 · Retention & disposal: Clear the shelves. Stay compliant.

Set how long each category is kept. Due items appear in one list; donate, recycle or destroy them in batches and print a certificate.

Retention & disposal

10 · Reports & insights: See what gets lost, where and how often.

Return rate, time to return, value handed back and team activity over any period. Five registers to filter and export to CSV or a branded PDF.

Reports & insights

11 · Your brand, any device: Your brand. Every device.

Your logo, colour and app icon on every screen, letter and email. Light and dark mode, and staff can install Reclaim like an app on their phone.

Four roles from admin to read-only auditor, two-factor sign-in, a full audit log and GDPR export and erase. Backups and a health check keep it running.
